Schedulous ("we", "us", "our") provides gym management software and branded mobile applications to gym and studio owners ("Business Customers") and their members ("End Users"). This policy covers how we handle data for both groups.
2. Information We Collect
Information you provide
- Account information — name, email address, phone number, gym name, and business address when you sign up or are added as a member
- Payment information — billing details processed through Stripe. We do not store full card numbers on our servers.
- Content — community posts, comments, photos, and messages you create within the platform
- Communications — emails, support requests, and feedback you send us
Information collected automatically
- Usage data — pages visited, features used, class bookings, check-in history
- Device information — browser type, operating system, device model, app version
- Network data — IP address, approximate location (city-level)
- Push notification tokens — device identifiers for delivering notifications you opt into

- Provide the service — manage memberships, process payments, schedule classes, deliver notifications
- Improve the product — analyze usage patterns to build better features
- Communicate — send transactional emails (receipts, booking confirmations), respond to support requests
- Protect — detect fraud, enforce our terms, maintain platform security
- Legal compliance — meet tax, accounting, and regulatory obligations
4. How We Share Your Information
We do not sell your personal information. We share data only in these circumstances:
- With your gym — Business Customers can see their members' profiles, attendance, and billing within their account
- Service providers — Stripe (payments), cloud hosting providers (data storage), email delivery services. Each is bound by data processing agreements.
- Legal requirements — when required by law, subpoena, or court order
- Business transfers — in the event of a merger, acquisition, or sale of assets, with advance notice to affected users
5. Data Retention
We retain your data for as long as your account is active or as needed to provide services. When a Business Customer cancels their account, we delete their data within 90 days, except where retention is required by law (e.g., tax records).
End Users can request account deletion through the mobile app or by contacting their gym. We process deletion requests within 30 days.
6. Data Security
We protect your data with:
- Encryption in transit (TLS 1.2+) and at rest
- Access controls and authentication for all internal systems
- Regular security reviews and dependency updates
- Isolated tenant architecture — each gym's data is separated from others
No system is perfectly secure. If we discover a breach affecting your data, we will notify affected users and relevant authorities as required by law.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access your personal data
- Correct inaccurate information
- Delete your account and associated data
- Export your data in a portable format
- Object to certain processing activities
- Withdraw consent for optional processing (e.g., marketing emails)

8. Cookies and Tracking
Our marketing site uses essential cookies for session management and optional analytics cookies to understand how visitors find us. The member app and admin dashboard use only essential cookies required for authentication. We do not use third-party advertising trackers.
9. Children's Privacy
Schedulous is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we will delete it.
10. International Transfers
Our servers are located in the United States. If you access the service from outside the US, your data will be transferred to and processed in the US. We rely on standard contractual clauses where required for lawful transfer.
11. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or an in-app notice at least 30 days before they take effect. Continued use of the service after changes constitutes acceptance.
